Delivery process

How a Refox project unfolds – from first contact to go-live

Switching business systems is routine for us, but a major change for you. Every Refox project follows the same controlled three-phase process – no surprises, no decisions left dangling.

A Refox delivery always moves through three phases: A. Sales and specification, B. Build and C. Go-live and handover. Each phase ends in a shared approval, so you always know where the project stands and what happens next.

You don't need to know how to order a system project. We guide you through it – all we need from you are decisions about your own business and enough time to take part in the shared review points.

Phase A

Sales and specification

We get to know your business, map your needs and build a shared understanding of what the Refox delivery includes – before a single line of code is written.

  1. Introduction We demo Refox and show how similar businesses are using it today.
  2. Pre-specification and needs analysis Together we map which features you need, the timeline, and any business-specific requirements.
  3. Preliminary proposal You receive pricing and an effort estimate before any deeper commitment.
  4. Visual design We produce the visual design of your e-commerce store together with our advertising partner and AI tools, and review it with you. If needed, the proposal is refined.
  5. Kickoff Once the proposal and design are approved, we form the project team and hold a joint kickoff.
Phase outcome: A clear, approved plan – both sides know what is being built, when, and at what cost.
Phase B

Build

We migrate your data, set up your system and build your e-commerce store. You see results along the way – we don't disappear for a month and come back with a finished product.

  1. Data migration We import your products, customers and other key data from your old systems into Refox.
  2. Refox base configuration We configure user roles, pricing rules, warehouses, payment methods and the rest of the settings your business needs.
  3. E-commerce build We deliver your e-commerce store as a standard solution based on the approved visual design.
  4. Internal and joint review We first review the work internally and then together with you (and, where relevant, third parties).
  5. Corrections and approval We make any required corrections – both to data and to design – until the result is approved.
Phase outcome: A working, approved system and e-commerce store – ready for final polish and training.
Phase C

Go-live and handover

We finalise custom features, train your team and migrate traffic from your old system to Refox in a controlled way.

  1. Custom features We build and train the features that exist specifically for your business.
  2. Product data enrichment You enrich your product data to commercial-grade quality – descriptions, images, attributes, classifications – while we coach you, help with tooling and review the result.
  3. Power user and end user training We train your power users first and then your wider team to use Refox confidently in their daily work.
  4. User testing and dry run We run the system end-to-end together, as if in production, and do a final check.
  5. Final data sync and traffic cut-over We perform a final data reconciliation and route live traffic into Refox. You are live.
Phase outcome: Refox in production, your team trained and your old system ready to be decommissioned.
